Organic certification is not just about what you grow – it’s about what you can prove. Every organic farmer, whether operating a small family plot or a large commercial farm, needs to maintain a detailed set of documents that demonstrate compliance with organic standards. These records form the backbone of the certification process, serving as evidence that your farming practices meet the strict requirements set by bodies like India’s National Programme for Organic Production (NPOP) or the USDA’s National Organic Program (NOP). Without proper documentation, even the most dedicated organic farmer risks losing certification. Let’s walk through each essential document you need to maintain and understand why it matters.

Why documentation matters in organic farming
Organic certification requires that every product labelled “organic” has been verified through an independent inspection and certification process. Inspectors don’t just visit your farm once – they review your records every year to confirm that your practices are consistent and genuine. Your records must be thorough enough to trace every product from the field all the way to the point of sale. This concept, known as traceability, is a core requirement under both the NPOP in India and international organic standards.
Under the NOP regulations (Section 205.103), certified operations must retain records that fully disclose all activities and transactions in enough detail to be easily understood and audited. These records must generally be kept for at least five years. In India, the NPOP similarly mandates that operators maintain accurate records of all activities and inputs used and ensure traceability of organic products throughout the supply chain.
Field maps
A field map is one of the first documents any organic farmer must prepare. It is a visual layout of your entire farm, showing the boundaries of each field or plot, the location of buildings, water sources, storage areas, and equipment sheds. For organic operations, the field map has an additional critical function: it must clearly mark buffer zones – the areas that separate your organic fields from neighbouring conventional farms to prevent contamination from chemical drift or runoff.
Field maps should also indicate any roads, drainage channels, or natural features that serve as boundaries. If your farm borders a conventional operation, the map should show how you’ve established adequate separation. Inspectors rely on field maps to understand the spatial arrangement of your farm before they even begin the physical visit. Keeping your field map updated every season – especially when you rotate crops or expand your area – is essential.
Field history sheets
A field history sheet records everything that has happened on a particular piece of land over time. This document typically covers at least three years of prior land use, which is especially important during the conversion period when a farm transitions from conventional to organic methods. The field history sheet should list the crops grown each season, the fertilizers and pesticides applied (if any), and any other treatments the soil received.
Why does this matter? Because organic certification bodies need to verify that prohibited synthetic substances have not been used on the land for the required conversion period – usually two to three years under NPOP guidelines. If you’re purchasing or leasing new land, you’ll need to investigate and document the field’s previous management history. The MOFGA Certification Services lists the field history sheet as one of the foundational records that every organic crop producer must maintain.
What to include in a field history sheet
Each field history sheet should contain the field identification number or name, the total area, the crops cultivated in each season for the past three or more years, all inputs applied (including organic manures, compost, or any soil amendments), and the dates of major activities like planting, transplanting, and harvesting. If the land was previously managed conventionally, note the last date synthetic chemicals were used – this determines when the conversion period ends.
Activity registers
An activity register is your farm’s daily logbook. It captures every significant action carried out on the farm – from ploughing and sowing to weeding, irrigation, fertiliser application, and pest management. Unlike the field history sheet, which provides a yearly summary, the activity register records events as they happen, with specific dates and details.
The Midwest Organic Services Association (MOSA) recommends using a five-year field activity log that tracks fertility management, pest and disease control, crop management from planting to harvest, and tillage activities – all on a single page per field. This format gives inspectors a quick overview of your practices while also helping you plan better for the next season. Activity registers also serve as evidence of your decision-making process. If an inspector asks why you applied neem-based spray on a particular date, the register provides the answer.
Input records
Every material you bring onto your farm – whether it’s seed, compost, bio-fertiliser, bio-pesticide, or any other input – must be documented in your input records. These records should note the name of the input, its source or supplier, the quantity purchased, the date of purchase, and the date and rate of application on each field.
Input records are critical because they allow inspectors to verify that only approved substances have been used. Under both the NPOP and NOP, there are specific lists of permitted and prohibited inputs. Synthetic fertilisers, herbicides, and genetically modified organisms (GMOs) are strictly banned. Maintaining purchase receipts alongside your input records strengthens their credibility. If you prepare your own compost or vermicompost on-farm, you should also document the raw materials used, the composting method, turning dates, and temperature monitoring data.
Harvest records
Once your crop is ready for harvest, documentation doesn’t stop – it becomes even more important. Harvest records track the date of harvest, the crop harvested, the field or plot where it was grown, the quantity collected, and the method of harvest. These records link the produce back to a specific field, enabling the traceability that certification bodies demand.
Harvest records also help identify potential contamination risks. If you farm both organic and conventional crops (known as a split operation), harvest records must clearly distinguish between the two. The USDA’s documentation forms for organic crop producers include dedicated templates for recording harvest details by field, crop, and lot number – a practice that’s equally useful for farmers operating under Indian or European organic standards.
Storage records
Proper storage is essential to maintain the organic integrity of your produce after harvest. Storage records document where your harvested crops are kept, the conditions of storage (temperature, humidity, ventilation), and whether organic products are stored separately from non-organic ones. Any pest control measures taken within storage areas – such as using pheromone traps or approved herbal repellents – must also be recorded.
The key concern here is co-mingling – the accidental mixing of organic and non-organic produce. Storage records prove that you have systems in place to prevent this. If you use a shared storage facility, additional documentation is needed to show how organic products were kept separate. Details such as the lot number, quantity stored, date of entry, and date of removal should all be captured in a running inventory format.
Sales records
Sales records complete the traceability chain. They document who you sold your produce to, the quantity sold, the date of sale, the price received, and whether the product was sold as organic. These records connect the dots between what was harvested, what was stored, and what left your farm – allowing inspectors to perform what is known as a mass balance audit.
A mass balance audit checks whether the quantity of organic produce sold is consistent with what was grown and harvested. If the numbers don’t add up – for example, if you’re selling more organic produce than your farm could possibly have produced – it raises a red flag. Sales records, including invoices, receipts, and buyer details, provide the evidence needed to pass this audit. For farmers selling at local markets or directly to consumers, even simple handwritten logs are acceptable as long as they are consistent and accurate.
Pest and disease control records
Organic farming doesn’t mean ignoring pests and diseases – it means managing them without synthetic chemicals. Pest control records document the type of pest or disease observed, the date of observation, the control measure taken, the product used (if any), and its source. They also note the outcome – whether the intervention was effective and whether follow-up action was needed.
These records demonstrate that your pest management approach follows the organic principle of prevention first. This typically involves a hierarchy: cultural practices (such as crop rotation and intercropping), biological controls (like introducing beneficial insects), mechanical methods (such as traps), and only then the use of approved organic inputs as a last resort. Inspectors will review these records to ensure prohibited substances were not used and that your pest management strategy aligns with your Organic System Plan.
Documenting integrated pest management
If you practise Integrated Pest Management (IPM), your records should show a clear decision-making trail. Note the monitoring methods you used (visual scouting, pheromone traps, sticky traps), the pest threshold that triggered action, and the rationale for the control method chosen. This level of detail not only satisfies certification requirements but also helps you improve your pest management strategy over time.
Labelling records
If you sell packaged organic produce, you must maintain labelling records that document the information printed on your product labels. This includes the product name, the organic certification mark or logo, the name and certificate number of the certification body, batch or lot numbers, and any other claims made on the packaging. In India, products certified under NPOP can carry the India Organic logo, but only if all labelling requirements are met.
Labelling records serve two purposes. First, they prove that your organic claims are truthful and consistent with your certification status. Second, they protect you from liability – if a labelling error occurs, your records can demonstrate that you had proper systems in place to prevent it. Even farmers selling at farmers’ markets with simple signage should keep a record of the claims they display, as these are subject to inspection.
Soil testing reports
Soil testing reports provide scientific evidence of your soil’s health and composition. While routine soil testing is not always mandatory under organic standards, it is strongly recommended – and some certification bodies may require it. These reports measure parameters like pH, organic carbon, nitrogen, phosphorus, potassium, and micronutrient levels, giving you a clear picture of your soil’s fertility status.
Over time, a series of soil testing reports can demonstrate that your organic practices are actively improving soil health – a powerful argument during certification reviews. Soil tests can also detect contamination from heavy metals or pesticide residues, which is particularly important for farms in conversion or farms adjacent to conventional operations. Keeping these reports organised by field and date creates a valuable long-term record of your land’s progress.
Practical tips for maintaining records
Record keeping doesn’t have to be overwhelming if you approach it systematically. Here are a few practical suggestions. First, keep records in real time – jotting down activities as they happen is far more reliable than trying to recall details weeks later. Second, use a consistent format – whether you prefer notebooks, printed templates, or digital tools, stick with one system throughout the season. Third, organise records by field – this makes it easier for both you and the inspector to trace activities back to specific plots.
At the end of each season, gather all your records – field maps, history sheets, activity registers, input logs, harvest records, storage logs, sales receipts, pest control notes, labelling documents, and soil test reports – and file them in one place. Review them before your annual inspection so you can identify and fill any gaps. Remember, these records are not just for the inspector – they are a management tool that helps you make better farming decisions year after year.
