Every organic crop has a story – and that story needs to be written down. From the moment a crop is harvested to the time it reaches a buyer, harvest and storage records serve as the official documentation of that journey. These records capture details like what was harvested, when, from which field, and how it was stored. For organic farmers, maintaining these records isn’t optional – it’s a fundamental requirement for organic certification under the USDA National Organic Program (NOP). Without them, even the most carefully grown organic produce cannot prove its organic status.

What are harvest and storage records?

Harvest and storage records are documentation forms that capture the complete details of when, where, and how organic crops were collected and stored after leaving the field. These records typically include the crop name and variety, field or block number where the crop was grown, harvest date, quantity harvested, lot number assigned to the batch, the name of the harvesting crew or individual, and the storage location where the crop was placed after harvest.

Storage-specific details go further. They document the storage facility or bin identification number, date the crop entered storage, environmental conditions such as temperature and humidity, date the crop left storage, and the destination – whether that’s a buyer, processor, or market. According to the USDA’s documentation forms for organic crop producers, these records should be supported by receipts, organic certificates, transport documents, and sales records to form a complete audit trail.

Why harvest and storage records matter for organic certification

Organic certification depends heavily on documentation. An organic inspector cannot be present at your farm every day, so your records become their primary tool for verifying that your practices comply with NOP standards. As Oregon Tilth explains, inspectors conduct traceback audits that follow a crop’s paper trail from its final sale all the way back to planting. If any link in that chain is missing or unclear, certification can be jeopardized.

The NOP requires certified operations to maintain records that fully disclose all activities and transactions in enough detail to be easily understood and audited. These records must be kept for at least five years beyond their creation. This isn’t just about ticking boxes – these records prove that your organic crops were grown, harvested, and stored according to the rules, and that no prohibited substances came into contact with them at any stage.

The audit trail connection

Harvest and storage records form a critical part of the organic audit trail. This trail connects your seed purchase records, field activity logs, input records, harvest data, storage inventory, and sales documentation into one coherent chain. When an inspector reviews your operation, they should be able to pick any product you sold and trace it backward through storage, harvest, and field records to verify its organic integrity. According to NC State Extension, an organic grain farmer, for example, must keep records covering storage, cleanout, and transportation – all linked by lot numbers and dates.

Key data points every harvest record should capture

A well-maintained harvest record should include the following information for each harvesting event:

Crop and variety: Clearly identify what was harvested. If you grow multiple varieties of the same crop, each one should be recorded separately.

Field or block number: Link each harvest to a specific field using the numbering system from your farm map. This allows inspectors to cross-reference harvest data with your field activity logs and input records.

Harvest date: Record the exact date of harvest. This is essential for traceback audits and for verifying that the three-year prohibition on synthetic substances was met before harvest.

Quantity harvested: Document the amount harvested in consistent units of measurement – kilograms, bushels, crates, or whatever standard your operation uses.

Lot number: Assign a unique lot code to each batch. A lot number typically combines information about the crop, field of origin, and harvest date into one code. This becomes the primary identifier for tracing that batch through storage, transport, and sale.

Harvest crew: Note who performed the harvest. This can be helpful for quality control and accountability.

Storage records: keeping track after harvest

Once a crop leaves the field, storage records take over. These documents track where the product goes, how it’s stored, and when it moves on to the next stage.

Essential storage record details

Storage facility and bin/unit ID: Every storage area on your farm – whether it’s a grain bin, cold storage unit, or warehouse section – should have a unique identification number. According to the Midwest Organic Services Association (MOSA), all bins, cribs, bunkers, and storage areas must be clearly identified and listed in your Organic System Plan and on your farm maps.

Date in and date out: Record when a crop enters and exits storage. This helps track inventory and ensures first-in, first-out rotation.

Environmental conditions: For crops that require controlled storage conditions, document temperature, humidity levels, and any pest monitoring activities. Daily temperature logs and weekly humidity checks are good practices to adopt.

Quantity changes: Track how much enters and how much leaves. If the amounts don’t add up, it raises questions during an audit about possible commingling or loss.

Preventing commingling: the segregation imperative

One of the most important functions of storage records is proving that organic products were kept completely separate from non-organic ones. Commingling – defined by the NOP as physical contact between unpackaged organic and non-organic products during production, processing, transportation, storage, or handling – can result in a loss of organic integrity.

For farms that produce both organic and conventional crops (known as split operations), the stakes are particularly high. Inspectors will review harvest, storage, and sales records for both organic and conventional crops to verify that no commingling occurred. Your records must also show that all shared equipment – harvesters, transport vehicles, storage bins – was thoroughly cleaned between organic and non-organic use.

What your segregation records should include

Dedicated vs. shared storage: Clearly indicate which storage areas are used exclusively for organic crops and which are shared. Shared areas require additional cleaning documentation.

Equipment cleaning logs: Document the date, method, and person responsible for each cleaning of shared equipment before organic use. The USDA’s optional documentation forms include templates for equipment cleaning logs and clean transport affidavits specifically for this purpose.

Clean transport affidavits: If organic crops are transported in vehicles that also carry conventional products, you need documentation confirming the vehicle was cleaned before loading organic goods. This affidavit should note the cleanout date, previous cargo, cleaning procedure, and driver name.

Clear labeling: All stored organic products should be physically labeled and visually distinguishable from non-organic products. This prevents accidental mixing at the storage facility level.

The role of lot numbers in traceability

Lot numbers are the backbone of any traceability system. They link a specific batch of product to its field of origin, harvest date, and storage history. In the event of a food safety issue or customer complaint, lot numbers allow you to quickly identify exactly which products are affected, where they came from, and who received them.

A good lot numbering system should allow anyone – from an inspector to a buyer – to decode the essential information. Many farmers incorporate the Julian date (day of the year), a field code, and a crop abbreviation into their lot numbers. For example, “TOM-F3-145” could represent tomatoes from Field 3 harvested on the 145th day of the year.

The FDA’s Food Traceability Rule under FSMA is further reinforcing the importance of lot-level tracking across the food supply chain, requiring farms to maintain traceability plans with detailed lot code assignments for foods on the Food Traceability List.

Choosing a recordkeeping system

The NOP does not require any specific format for your records. You can use paper forms, spreadsheets, dedicated farm management software, or even a well-organized notebook – as long as the information is complete, accurate, and easy for an inspector to follow.

Paper-based systems

Paper forms and field notebooks remain popular, especially among smaller operations. They’re simple, don’t require technology, and can be filled in right at the field. The USDA and several certifying agencies provide free downloadable templates. ATTRA’s organic field crop documentation forms, for instance, include templates for harvest records, storage inventory logs, and cold storage tracking.

The downside of paper is that it’s harder to search, share, and back up. Paper records can also be damaged by weather or lost over time.

Digital systems

Spreadsheets, cloud-based tools, and farm management software offer advantages in organization, searchability, and data backup. Digital systems make it easier to generate reports, cross-reference data between fields and storage units, and share records with certifiers. For operations of any size, a digital backup of critical records is a wise safeguard.

Whichever system you choose, consistency matters more than format. A simple system that you actually use every day is far more valuable than a sophisticated one that gets neglected.

Common mistakes to avoid

Even experienced organic farmers run into recordkeeping problems. Here are some of the most frequent issues and how to prevent them:

Incomplete entries: Leaving fields blank – especially lot numbers, field IDs, or dates – creates gaps that inspectors will flag. Make it a habit to fill in every field on your forms at the time of the activity, not days or weeks later.

Inconsistent naming: Using different names for the same field or storage unit across different records creates confusion. Standardize all field numbers, bin IDs, and crop names across your entire documentation system.

Missing cleaning records: Forgetting to document equipment or storage bin cleanouts between organic and conventional use is a common noncompliance finding. Build cleaning documentation into your standard operating procedures.

No backup copies: Relying on a single set of paper records without any copies or digital backups puts five years of records at risk. Keep duplicates or digital scans of critical documents.

Delayed documentation: Recording harvest or storage data from memory days after the event leads to inaccuracies. As the Midwest Organic Services Association notes, well-maintained records also serve as a valuable management tool for planning crop rotations and tracking yields – but only if they’re accurate.

Beyond compliance: the business value of good records

Good harvest and storage records do more than satisfy your certifier. They provide practical benefits that strengthen your farm business in several ways.

Market access: Retailers, processors, and wholesale buyers increasingly require detailed traceability documentation before purchasing organic products. Complete harvest and storage records help you meet these requirements without scrambling at the last minute.

Faster recall response: If a food safety issue arises in the broader market, your lot-level records let you quickly determine whether your products are affected. Farms that can rapidly prove their crops are not involved in a recall resume normal business faster and suffer less financial damage.

Yield analysis and planning: Tracking harvest quantities by field and year helps you identify trends, compare the performance of different varieties, and plan future rotations. Over time, this data becomes one of your most valuable farm management resources.

Legal protection: If a neighbor’s prohibited pesticide drifts onto your field, your documented harvest and sales records serve as evidence of the financial losses you’ve sustained – both immediate and the potential three-year loss of organic certification for the affected area.

Training your team on recordkeeping

Records are only as good as the people filling them out. Every person involved in harvesting and storage on your farm should understand what needs to be documented and why. Effective training includes explaining the purpose behind each form, walking through how to fill in every field correctly, and making forms easily accessible at the point of activity – whether that’s a harvest station, storage facility, or field office.

Provide clear written instructions alongside blank forms. Conduct periodic reviews of completed records to catch errors early and offer feedback. When your team understands that their documentation directly supports the farm’s organic certification and market access, they are more likely to treat it as an essential part of their work rather than an afterthought.
