Every time a manufacturer takes on a custom order – whether it’s a piece of farm equipment built to specification, a batch of specialty packaging, or a bespoke construction project – someone in the accounting department needs to answer a deceptively simple question: what did this specific job actually cost? That’s precisely what job costing is designed to do. But the accuracy of this system depends entirely on the documents used to capture costs at every step of production. Without the right paperwork in place, costs go untracked, budgets spiral, and profitability becomes guesswork. This post walks through the essential documents that keep a job costing system working – what each one is, what it captures, and why it matters.

What is job costing and why do documents matter?

Job order costing is a system for assigning and accumulating manufacturing costs to individual units of output. It is used when products are sufficiently distinct from one another – think custom furniture, specialised agricultural machinery, or made-to-order food processing equipment – so that tracking costs per job makes practical sense. Unlike process costing, which spreads costs across large batches of identical items, job costing pins direct materials, direct labour, and overhead to each specific order.

This level of precision is only achievable through proper documentation. Each document in the job costing process serves as a source record – a piece of evidence that a cost was incurred, for which job, and in what amount. Without these records, there is no reliable trail connecting expenditure to output. The four key documents are the Manufacturing or Production Order, the Job Cost Card (Cost Sheet), the Material Requisition Slip, and the Time Ticket.

The manufacturing or production order

The manufacturing order – sometimes called a production order or works order – is the document that formally starts the job costing process. It is an official authorisation for production to begin. Before any materials are drawn from stores or any worker is assigned to a task, a manufacturing order must exist.

This document typically contains the job number, a description of what is to be produced, the quantity required, the required completion date, and specific instructions or specifications. According to Lumen Learning’s Accounting for Managers, the process at a specialty bicycle manufacturer begins exactly this way: a job number is assigned to each order, a bill of materials is created, and the job is moved to production. The manufacturing order is that triggering document – it sets everything else in motion.

Beyond authorisation, the manufacturing order also serves as a coordination tool. It communicates to the production floor, the storeroom, and the accounts department what needs to happen and when. It ensures that all departments are working from the same specification, reducing the risk of errors or miscommunication that could inflate costs.

The job cost card (cost sheet)

If the manufacturing order starts the process, the job cost card – also called a cost sheet or job cost sheet – is where all cost information is accumulated throughout the life of the job. According to Accounting for Management, a separate job cost sheet is prepared for each individual job, and the accounting department is responsible for recording all manufacturing costs on it – direct materials, direct labour, and manufacturing overhead.

A standard job cost sheet includes the following details:

  • Job identification: Job number, product description, customer name, date started, and date completed.
  • Direct materials: The type, quantity, and cost of all raw materials used on the job, drawn from material requisition slips.
  • Direct labour: The hours worked and the corresponding wage cost, sourced from time tickets.
  • Manufacturing overhead: Indirect costs – such as utilities, equipment depreciation, and factory rent – applied to the job using a predetermined overhead rate.
  • Total cost and unit cost: A summary of all costs, which allows management to assess whether the job was completed within budget.

Finance Strategists notes that a job cost sheet helps producers control production costs, guides manufacturers in formulating a profitable production policy, and assists management in comparing cost elements against previous results and standard benchmarks. Crucially, it also forms part of the subsidiary ledger for Work-in-Process (WIP) inventory – the total of all job cost sheets in progress matches the WIP balance on the company’s balance sheet.

Overhead allocation on the job cost card

One of the more complex entries on a job cost card is the overhead charge. Since indirect costs like factory rent or supervisory wages cannot be traced directly to a single job, they are allocated using a predetermined rate – typically calculated by dividing estimated total overhead by expected direct labour hours or direct labour cost. CliffsNotes explains that if a company’s predetermined overhead rate is 120% of direct labour cost, a job with $9,000 in direct labour would be allocated $10,800 in overhead. This estimated amount is recorded on the job cost card alongside direct costs.

The material requisition slip

Raw materials don’t leave the storeroom without a paper trail. The material requisition slip (also called a materials requisition form) is the document used to formally request and record the transfer of raw materials from inventory into production.

As described in Saylor Academy’s Managerial Accounting resource, a materials requisition form specifies the type, quantity, and cost of materials being requested, as well as the job number for which the materials will be used. Once materials are released from the storeroom, the cost is posted to the relevant job cost sheet. This creates a direct, auditable link between material usage and the job being produced.

The material requisition slip serves several functions simultaneously. First, it authorises the release of materials – no materials leave stores without one. Second, it updates inventory records, ensuring stock levels remain accurate. Third, it provides the data needed to charge direct material costs to the correct job. Principles of Accounting illustrates this with a practical example from an electrical contracting firm: when a worker gathers materials from the shop in the morning, the materials requisition form documents exactly what was taken and for which job, providing essential documentation for both inventory management and cost tracking.

Indirect materials and the requisition slip

Not every material can be easily traced to a specific job. Small consumables like nuts, bolts, lubricants, or tape are often too minor to track individually. These indirect materials are not recorded on individual job cost sheets via requisition slips. Instead, their costs are pooled into manufacturing overhead and allocated to jobs through the overhead rate. The material requisition slip is therefore primarily a tool for direct materials – those that are significant enough in value and quantity to be traced specifically to a job.

The time ticket

Labour is typically one of the largest cost components in a job costing system, and time tickets are the mechanism through which it is tracked. A time ticket – also known as a time card, timesheet, or job ticket – is a document completed by workers to record how many hours they spent on a specific job.

According to CliffsNotes, labour costs are allocated to work-in-process inventory based on the completion of time tickets that identify which job a worker spent time on. The worker records the date, the job number, and the number of hours worked. This data is then used to calculate direct labour cost for that job by multiplying hours by the worker’s hourly wage rate.

Dummies.com illustrates the practical mechanics well: if a worker spends two hours on a specific job at a rate of $20 per hour, the time ticket records those two hours, adding $40 in direct labour cost to that job’s cost sheet. Multiply this across all workers contributing to a job, and the labour section of the cost sheet fills in accurately.

Time tickets and overhead application

Time tickets do more than just record labour costs – they also drive overhead allocation. Because many companies use direct labour hours as their overhead cost driver, the hours captured on time tickets directly determine how much overhead is charged to each job. Lumen Learning notes that most companies track direct labour with a time ticket system, either on paper or electronically, and these recorded hours are the basis for adding overhead to the job cost sheet.

How these documents work together

These four documents are not independent – they form an integrated, sequential system. The process flows like this:

  1. A Manufacturing Order is raised to authorise production of a specific job and assign it a unique job number.
  2. A Job Cost Card is opened for that job number to collect all cost entries.
  3. Material Requisition Slips are raised each time materials are drawn from stores. The cost from each slip is posted to the job cost card.
  4. Time Tickets are completed by workers as they perform labour on the job. These are used to calculate and post direct labour costs to the job cost card.
  5. Overhead is applied to the job based on the predetermined rate, using direct labour hours from the time tickets as the driver.
  6. When the job is complete, the job cost card is totalled, and the accumulated costs are transferred from Work-in-Process Inventory to Finished Goods Inventory – and eventually to Cost of Goods Sold once the job is delivered to the customer.

As explained in Horngren’s Cost Accounting, the job cost sheet functions as the anchor of the entire system – it integrates data from material requisition forms and time tickets, and serves as the basis for detailed client invoicing and profitability analysis. Each source document feeds into it, creating a verifiable record of every cost incurred.

Why accurate documentation matters beyond accounting

The value of these documents extends well beyond recording what was spent. As inFlow Inventory highlights, a well-maintained job costing system enables manufacturers to perform profitability analysis on individual jobs, identify where costs exceeded estimates, and build more accurate pricing for future similar work. Over time, the historical data from job cost cards becomes a reference library for estimating and quoting.

For management, the documents also provide a mechanism for cost control during production. If a job is running significantly over its material or labour budget, the job cost card will flag this before the job is complete – giving managers the chance to intervene rather than discovering the overrun after the fact. SafetyCulture points out that job cost sheets allow businesses to compare actual costs with budgeted amounts in real time, which supports both cost control and informed decision-making.

From an inventory and compliance perspective, the material requisition slip ensures that raw materials are properly accounted for and that stock records are kept accurate. Without it, inventory can silently disappear into production without any audit trail, making reconciliation at period end a near-impossible task.
