What bridges the gap is documentation, and at the centre of that documentation sits the input record. What is an input record in organic farming?
An input record is a detailed written log of all materials used on a certified organic farm for plant nutrition, soil management, and pest or disease control. It captures what was applied, where it was applied, how much was used, when, and where the material came from. According to Oregon Tilth’s recordkeeping guide, organic growers must document the crop or field location, the date, the application rate, and the method for every material they use.
The purpose is straightforward: organic certification standards – whether under the USDA National Organic Program (NOP) or India’s National Programme for Organic Production (NPOP) – prohibit hundreds of synthetic substances. An input record proves that a farmer only used materials that are permitted under these standards.
Why input records matter for organic certification
Organic certification is not a one-time event. It is an ongoing process that relies heavily on documentation. When an inspector visits a farm – which happens at least once a year – they don’t just look at the crops. They sit down with the paperwork. The input record is one of the first things they review.
Verification of compliance
During inspections, certifying bodies conduct traceback audits. These audits trace a crop’s journey backwards – from the final sale to planting – checking that organic practices were followed at every step. Input records are central to this process because they show exactly which substances touched the crop and the soil. If a farmer applied a fertiliser that isn’t on the approved list, or used a pest control product in a manner inconsistent with organic regulations, the input record is where inspectors will find (or fail to find) the evidence.

Product name and type
Every entry begins with the name of the material. This could be a commercial product like a specific brand of fish emulsion, a farm-made preparation like vermicompost tea, or a biological control agent like Trichoderma. The type of input – whether it’s a fertiliser, soil amendment, pesticide, fungicide, or growth promoter – should also be recorded.
Source and supplier details
Where the material came from matters just as much as what it is. Input records should note the name of the supplier, the purchase date, and ideally retain copies of invoices and receipts. If the product carries an approval from a body like the Organic Materials Review Institute (OMRI), that listing number should be included. OMRI is an independent nonprofit that reviews input products to determine whether they meet organic production standards – their verification gives both farmers and inspectors confidence that a product is genuinely permitted.
Quantity and application rate
The record must show how much material was applied and at what rate. For example, “1.5 tonnes per acre of farmyard manure applied with a spreader” or “200 ml per 15 litres of water of neem oil, sprayed using a knapsack sprayer.” This level of specificity allows inspectors to assess whether application rates are within acceptable limits and consistent with what the OSP describes.
Date and method of application
Each application should be logged with the exact date and the method used – broadcasting, foliar spray, drip fertigation, seed treatment, soil drenching, and so on. This helps establish a timeline that can be cross-referenced with planting and harvest records.
Field or crop location
Organic farms – especially those that manage both organic and conventional plots – must indicate which specific field, plot, or crop received the application. This is particularly important for split operations where contamination risks are higher and inspectors need to verify that organic and non-organic areas are properly separated.
Types of inputs tracked in the record
Input records cover every material that enters the farm’s production cycle. These broadly fall into two categories: materials for plant nutrition and materials for pest and disease management.
Plant nutrition inputs
These include organic fertilisers and soil amendments such as compost, farmyard manure, vermicompost, bone meal, rock phosphate, green manure crops, and bio-fertilisers like Rhizobium or Azotobacter cultures. Micronutrient supplements are also logged here. It’s worth noting that even in organic systems, some micronutrient applications – like boron or zinc – are only allowed when backed by documented soil or tissue test results showing a deficiency. The Organic System Plan (OSP) is the foundational document for any certified organic operation. It describes all practices, materials, and monitoring procedures the farm intends to follow. Every input a farmer plans to use must be declared in the OSP and approved by the certifying agency before it is applied.
The input record then acts as the real-time evidence that the OSP is being followed. During an annual inspection, the inspector compares what the OSP says the farmer will do with what the input records show the farmer actually did. Any gap between the two – an undeclared material, an unapproved product, or a missing entry – can trigger a non-compliance finding.

Keeping input records doesn’t require expensive software or complex systems. Many successful organic farms use simple notebooks, printed forms, or basic spreadsheets. What matters is consistency and completeness.
Record entries in real time
The most common mistake farmers make is trying to fill in records from memory days or weeks after an application. Details get lost, dates blur together, and quantities become approximate. The best practice is to log every input application on the same day it happens.
Keep supporting documents together
Purchase receipts, supplier invoices, organic certificates from input manufacturers, OMRI listing confirmations, and soil test reports should all be filed alongside the input record. These supporting documents strengthen the record’s credibility during an audit. As CCOF (California Certified Organic Farmers) emphasises, an audit trail is a collection of documents that demonstrates the entire recordkeeping system – and inspectors verify this trail at every annual inspection.
Use a format that works for your farm
The NOP and NPOP do not prescribe a specific form or software. Farmers can use handwritten journals, printed templates from certifiers, or digital tools. Several certifiers and agricultural organisations provide free downloadable templates. The Soil Association in the UK, for instance, offers templates specifically for field inputs, brought-in fertilisers, and pest or disease products.
Review records before inspection
Before the annual inspection, it helps to do a self-audit. Go through the input record and check for missing entries, unsupported claims, or products that might need updated organic approval documentation. This small step can save significant trouble during the actual inspection.
Common mistakes to avoid
Even well-intentioned farmers sometimes stumble with input records. Here are the most frequent issues that lead to problems during certification audits.
Incomplete entries
Recording just the product name without the quantity, date, or field location is not enough. Inspectors need the full picture for each application event. A vague entry like “applied compost in March” won’t pass a traceback audit.
Using unapproved materials
Not every product labelled “organic” or “natural” is actually permitted under organic certification standards. A product’s composition determines its eligibility. Farmers should verify materials through resources like the OMRI Products List or consult their certifying agency before first use. Using an unapproved product – even unknowingly – and recording it honestly in the input log will still result in a non-compliance finding.
Failing to update the OSP
If a farmer starts using a new input that wasn’t included in the original Organic System Plan, the OSP must be updated and the new material approved by the certifier before application. Recording an undeclared input in the log without updating the OSP creates a compliance gap.
Poor document retention
Organic records generally need to be retained for a minimum of five years. Losing old records, misplacing receipts, or discarding notebooks can create serious problems if questions arise about past practices.
Input records across different certification systems
While the core principles of input record-keeping are the same worldwide, different certification programmes have their own specific requirements.
USDA National Organic Program (NOP)
Under the NOP, certified operations must maintain records of all production, harvesting, and handling activities. The National List of Allowed and Prohibited Substances governs which synthetic and non-synthetic materials may be used. Farmers commonly rely on OMRI-listed products for assurance of compliance. Records must be detailed enough to support a complete traceback from sale to planting.
India’s NPOP
India’s NPOP, managed by APEDA under the Ministry of Commerce and Industry, follows a similar structure. Farmers must maintain records of all inputs used, including fertilisers, pest control substances, and amendments. The NPOP Tracenet system further supports traceability by requiring digital documentation of organic certification and transaction certificates. Certification bodies accredited under NPOP – such as INDOCERT, Ecocert India, and OneCert – conduct inspections that specifically review input usage records against the farm’s declared practices.
EU organic regulations and other standards
European organic standards under Regulation (EU) 2018/848 also require thorough input documentation. Certification bodies like Ecocert verify that all inputs – fertilisers, crop protection products, cleaning agents – comply with applicable organic regulations. The emphasis on documented traceability is a universal feature of all credible organic certification systems.
The bigger picture: input records and consumer trust
At its core, the input record exists to answer a simple question: Can this product truly be called organic? The organic label commands premium prices and carries a promise – no synthetic chemicals, no GMOs, no prohibited substances. That promise is only as strong as the paper trail behind it.
For farmers, diligent input record-keeping protects their certification investment and shields them from false non-compliance findings. For consumers, it ensures the organic food they buy was produced under verified conditions. And for the organic industry as a whole, reliable documentation builds the credibility that keeps the system functioning.
Input records might not be the most exciting part of farming. But they are, without question, one of the most important.
