If you’re pursuing organic certification-or already hold one-there’s one document you simply cannot afford to neglect: the activity register. Think of it as your farm’s daily diary. It captures every field operation, every input applied, every crop planted, and every harvest gathered. Without it, even the most genuinely organic farm can struggle during inspections. Certification bodies across the world, whether under India’s NPOP or international standards, require farmers to maintain thorough records that prove compliance at every step.

What is an activity register in organic farming?

An activity register is a chronological log where a farmer records all day-to-day farming operations carried out on certified or in-conversion organic land. It covers everything from land preparation and sowing to pest management, weather observations, and harvesting. Unlike a general farm plan or an Organic System Plan (OSP), the activity register is a real-time, ongoing document-updated daily or as activities happen.

The purpose is straightforward: when an organic inspector visits your farm, they need to verify that your actual practices match what’s described in your organic system plan. The activity register provides the evidence. According to Oregon Tilth, inspectors conduct traceback audits that trace a crop from its final sale all the way back to planting, and thorough recordkeeping is what makes these audits possible.

Why the activity register matters for certification

Organic certification is not a one-time event. It demands continuous compliance, and records are the backbone of that compliance. Under most organic standards, including India’s NPOP framework and the USDA’s National Organic Program, certified operations must maintain records that fully disclose all activities and transactions in enough detail to be readily understood and audited. These records must typically be preserved for at least five years.

Here’s what a well-maintained activity register accomplishes:

Proves compliance during inspections. Inspectors don’t take your word for it-they verify claims through documentation. Your activity register lets them cross-check field activities against your organic system plan, input receipts, and harvest records.

Supports traceback audits. In a traceback, the inspector picks a sold product and works backwards through your records-from sale to storage to harvest to planting. Every link in that chain must be documented in your activity register.

Protects your certification. If discrepancies arise between what you claim and what your records show, you risk non-compliance notices or even suspension of certification. Detailed daily entries prevent gaps that could raise red flags.

Improves farm management. Beyond certification, your activity register becomes a powerful decision-making tool. Tracking input costs, planting dates correlated with yields, and pest pressure patterns over time helps you identify the most profitable practices and optimize future seasons.

What to record in an activity register

The activity register should capture every significant farming operation. While the exact format can vary-certification bodies generally don’t prescribe a fixed template-certain categories of information are universally expected.

Tillage and land preparation

Record each tillage operation with the date, field or plot number, type of tillage (ploughing, harrowing, bed preparation), and the equipment used. If you prepare raised beds or apply green manure before planting, note that too. These entries show the inspector how you manage soil structure and prepare for planting without relying on prohibited substances.

Input use

Every input applied to your fields needs a detailed entry. This includes organic fertilisers (compost, vermicompost, farmyard manure), bio-pesticides, bio-fertilisers, and any botanical extracts used for pest or disease management. For each application, record:

Date of application – when the input was applied.
Type and name of input – the specific product or material.
Quantity used – exact amounts per field or plot.
Source of input – whether it was self-prepared on-farm or purchased.
Reason for application – the pest, disease, or nutrient deficiency being addressed.

Keeping invoices, receipts, and labels alongside your register entries strengthens your documentation. Inspectors often cross-reference your activity register with purchase records to verify that every input used is approved under organic standards.

Crop planting and rotation

Document the planting date, crop variety, seed source, and seed quantity for each field. If you used organic seed, attach or reference the supplier’s organic certificate. If organic seed was unavailable and you used untreated non-GMO conventional seed, record the commercial availability search you conducted-this typically involves contacting at least three organic seed suppliers and documenting their responses.

Crop rotation details also belong in the activity register. Note which crop preceded the current one in each field and what you plan to plant next season. Crop rotation is a cornerstone of organic farming, and inspectors check rotation records to ensure you’re maintaining soil health, preventing pest buildup, and following your organic system plan.

Weather conditions

This is an often-overlooked section of the activity register, but it’s valuable. Record daily or weekly weather observations-rainfall, temperature extremes, drought periods, hailstorms, or unseasonal frost. Weather data helps explain yield variations, justifies certain input applications (for example, a fungicide spray after prolonged wet weather), and provides context during the inspection. You don’t need a weather station-simple notes based on local observations or nearby weather reports are sufficient.

Pest and disease observations

Whenever you scout your fields, log what you find. Record the date, field location, pest or disease identified, severity level, and any action taken. Even if you decide not to intervene, note that observation. This kind of integrated pest management (IPM) documentation shows the inspector that you monitor your farm actively and make informed decisions rather than applying inputs indiscriminately.

Harvest records

At harvest time, record the date, crop, field or plot number, quantity harvested, and the method of harvest. If the crop goes into storage, document the storage location, container or bin number, and any post-harvest handling such as cleaning, drying, or sorting. This information feeds directly into the traceback trail that inspectors follow from the final sale back to the field.

According to NC State Extension, records must be sufficient to demonstrate compliance with organic regulations and should be maintained for a minimum of five years.

How to organise and maintain your activity register

There’s no single “correct” format for an activity register. Some farmers use bound notebooks. Others prefer printed templates on clipboards placed at strategic locations around the farm-near seed storage, at field entrances, or in processing areas. Digital tools such as spreadsheets, farm management apps like FarmOS or Farmbrite, and even machine-based recording systems on modern tractors are increasingly common.

Whatever method you choose, follow these principles:

Record entries promptly. Don’t rely on memory. The best activity registers are filled in the same day-or even the same hour-as the activity takes place. Delayed entries lead to inaccuracies and gaps.

Be specific. Vague entries like “applied manure” won’t satisfy an inspector. Write “applied 500 kg farmyard manure to Field 3 (tomato plot) for pre-planting soil enrichment.” Specificity makes your records auditable.

Use a consistent format. Whether paper or digital, use the same column headings and structure throughout the season. This makes it easier for both you and the inspector to navigate the register. Common column headings include: date, field/plot ID, activity type, inputs used, quantity, weather, and remarks.

Cross-reference with other documents. Your activity register doesn’t stand alone. Link entries to supporting documents-input purchase receipts, seed certificates, soil test reports, and sales invoices. Some farmers use a simple numbering system: each receipt gets a reference number that appears in the corresponding register entry.

Store records safely. Protect your register from physical damage (water, pests, fire). If you use paper, consider making periodic photocopies or scanning pages. Digital records should be backed up regularly.

The activity register within India’s organic certification systems

India operates two main organic certification pathways. The National Programme for Organic Production (NPOP), administered through APEDA, is a third-party certification system primarily used for exports and large-scale domestic marketing. The Participatory Guarantee System (PGS-India), managed by the National Centre for Organic and Natural Farming, is a community-based certification model designed for smallholder farmers selling in domestic markets.

Under both systems, maintaining farm records-including a daily activity register-is a core requirement. The NPOP mandates documentation of all farming activities, input use, crop rotations, harvest quantities, and sales. During annual inspections by accredited certification bodies, inspectors review these records alongside field observations to verify organic integrity.

For PGS-certified farmers, peer inspections replace third-party audits-but the documentation requirement remains. Farmers within a local group assess each other’s records and practices, and the PGS Regional Council verifies compliance. Maintaining a clear, daily activity register helps farmers demonstrate their organic practices to fellow group members and regional council inspectors alike.

Common mistakes to avoid

Leaving gaps in the register. An activity register with weeks-long gaps between entries raises immediate suspicion during inspection. Even on quiet days, a brief note-“no field activities due to heavy rain”-keeps the log continuous.

Recording activities after the fact. Batch-entering a month’s worth of activities from memory right before an inspection is a recipe for errors and inconsistencies. Inspectors are trained to spot retroactive entries.

Ignoring non-application activities. Many farmers diligently record input applications but forget to document weeding, mowing, irrigation, equipment cleaning, or scouting. These routine activities are equally important for demonstrating how the farm operates organically.

Not matching register entries with receipts. If your register says you applied a specific bio-pesticide on a certain date but you can’t produce the purchase invoice or product label, the entry loses credibility. Inspectors routinely cross-check activity logs with financial records.

Using one register for organic and non-organic fields. If your farm has both organic and conventional areas, maintain separate activity registers for each. Mixing them creates confusion and increases the risk of errors that could jeopardise your organic certification.

Tips for making activity register maintenance easier

Build it into your daily routine. Spend five minutes at the end of each working day updating your register. Treat it like brushing your teeth-non-negotiable and habitual.

Use pre-printed templates. Organisations like the USDA’s Agricultural Marketing Service and Oregon Tilth provide free recordkeeping templates. Adapt these to your farm’s specific needs. Having a structured form with predefined fields is faster than writing free-form notes.

Involve farm workers. If you have labourers or family members helping on the farm, train them to make basic register entries. A worker applying compost should be able to note the date, field, and quantity on a clipboard right there in the field.

Review before inspection. A few weeks before your scheduled annual inspection, review your activity register from start to finish. Look for missing dates, incomplete entries, or discrepancies with other records. Fix what you can and prepare explanations for any anomalies.

Leverage digital tools. If you’re comfortable with technology, smartphone apps and cloud-based farm management software can streamline data entry and generate organised reports ready for inspection. Some tools even allow you to attach photos and GPS coordinates to entries, adding an extra layer of verification.

How the activity register fits into the bigger documentation picture

The activity register is one component of a larger documentation ecosystem required for organic certification. It works alongside your Organic System Plan (OSP), which describes your planned practices; your input records, which include purchase invoices and product labels; your harvest and sales records, which track product movement from field to buyer; and your soil and water test reports, which verify environmental compliance.

Together, these documents create what’s often called an audit trail-a complete, verifiable account of your organic operation from soil to sale. The activity register sits at the centre of this trail because it’s the document that connects daily actions to all other records. A compost application entry in your register links to the compost purchase receipt. A planting entry links to the seed certificate. A harvest entry links to the sales invoice.

When this system works well, inspections become less stressful and more of a confirmation exercise. As experienced certifiers often note, the goal of good recordkeeping is to be able to tell the complete story of any field or crop-from before planting to when the product left the farm.
