Whether you are evaluating a new market opportunity, presenting financial findings, or recommending changes to farm operations, a poorly prepared report can mislead decision-makers – while a well-structured one can directly shape strategic outcomes. The fundamental purpose of any business report is to assist in decision-making by presenting analyzed information in a clear, actionable format. Getting there requires following a deliberate set of preparation steps – each one building on the last.

Step 1: Determine the purpose of the report

Every report must begin with one clear question: Why is this report being written? The answer to that question defines everything that follows – what data to gather, how to analyze it, and how to present it.

Before you begin writing, having a clear understanding of the report’s purpose will guide your research, data collection, and overall approach. Ask yourself: What specific problem is being addressed? Is the report meant to inform, analyze, or recommend? Is there a decision that needs to be made based on its findings?

In an agribusiness context, this could mean determining whether your report is assessing the feasibility of a new crop variety, reviewing the performance of a supply chain, or proposing a cost-reduction strategy. A clear problem or situation statement is key to the success of your report – if your audience has to work to identify what you are talking about, they are less likely to read, be influenced by, or recall what you have written.

Defining the purpose early also determines the type of report you are writing. Informational reports present facts without conclusions, while analytical reports go a step further by interpreting data and offering insights – they are essential for decision-making as they provide context and recommendations based on findings.

Step 2: Consider the target audience

Once you know why you are writing the report, you need to establish who will read it. This step is just as critical as defining the purpose, because the same information needs to be presented differently depending on who is at the receiving end.

One of the trickier parts of report writing is understanding what your audience expects – why they are reading the report, whether different parts serve different purposes, and whether you are expected to follow a specific format.

In practice, a business report typically serves more than one audience. A suggested classification is to distinguish between a primary audience – those who take decisions based on the report – a secondary audience who are affected by those decisions, and an immediate audience responsible for evaluating and distributing the report. A report for senior management, for instance, should focus on strategic implications, whereas one for a technical team can include detailed data and methodology.

Identifying these factors before drafting is vital – it helps you decide what research to include or eliminate, how best to display your data visually, and how to get your conclusions and recommendations accepted.

Step 3: Collect and organize information

With a clear purpose and audience in mind, the next step is gathering the information you need. This is where many report writers rush – and where accuracy gets compromised.

Once the purpose is clear, collect accurate and relevant data to support your report using reliable sources such as company records, market research, or interviews. Data broadly falls into two categories: primary data – gathered firsthand through surveys, interviews, observations, or field experiments – and secondary data – sourced from existing reports, government databases, academic journals, or industry publications.

After collection, the raw information must be organized before any analysis begins. Divide the report content into clearly defined sections such as introduction, findings, and recommendations. Each section should serve a specific purpose and build on the previous one. Headings, subheadings, and bullet points can help readers navigate the data and allow key insights to stand out.

A well-planned report is a job half done – you need to know who you are writing for and how much they know about the topic before you begin. Organizing information according to the reader’s perspective, rather than the writer’s, is a discipline that separates good reports from great ones.

Using visuals to support organization

Data presented in isolation – as raw numbers or dense paragraphs – rarely communicates effectively. Break down complex findings into digestible segments and use formatting techniques such as bullet points and numbered lists to highlight important information. Charts, tables, and graphs are particularly valuable because a bar chart showing monthly sales growth can illustrate a trend more effectively than text alone.

Step 4: Analyze and evaluate the data

Collecting data is not the same as understanding it. Analysis is the step where raw information is examined for patterns, trends, and meaning – and where the real value of a business report is created.

Use analytical tools and techniques to analyze the data effectively, which may include statistical analysis, qualitative coding, or data visualization. Ensure that the data collected is accurate, reliable, and up to date.

For agribusiness reports, this might involve comparing crop yield data across seasons, assessing cost-per-unit trends, or evaluating whether a new input technology has improved profitability. The analysis should not just describe what the data shows – it should interpret what it means for the business.

Avoid overloading reports with every available metric. Relevance wins every time – start by identifying the five to seven essential metrics that directly support the story you are telling. Every piece of data included in the analysis section should connect back to the report’s stated purpose. If a data point does not serve the objective, it does not belong in the report.

Evaluating quality and reliability

Analysis is only as strong as the data feeding it. Before drawing conclusions, critically evaluate your data for completeness and bias. Key data cleaning tasks include removing major errors, duplicates, and outliers – all of which are inevitable problems when aggregating data from numerous sources – as well as removing irrelevant observations and filling in significant gaps. Skipping this step can produce misleading findings that undermine the entire report.

Step 5: Determine solutions or recommendations

Good analysis naturally leads to the question: So, what should be done? The recommendations section is where the report moves from descriptive to prescriptive – it is the part that decision-makers are most interested in.

Suggest actionable steps that can be taken to address any issues identified or capitalize on any opportunities uncovered by the analysis. Provide specific, practical recommendations that are feasible and aligned with the objectives of the report.

Recommendations must be grounded in the evidence presented in the report – not based on assumptions or instincts. Make sure that every recommendation has supporting arguments to back it up. In agribusiness, a recommendation might be to shift to drought-resistant seed varieties based on analyzed rainfall data, or to renegotiate supplier contracts based on a cost analysis showing above-market input prices.

It is equally important to be realistic. Recommendations that are too broad or technically infeasible do more harm than good. An impactful conclusion not only states what to do but also provides an unambiguous rationale rooted in your thorough analysis. Each recommendation should include why it is being proposed, what outcome it is expected to deliver, and, where possible, a suggested timeframe or resource requirement.

Being objective in recommendations

The recommendations section must remain objective. Make sure you are objective in your recommendations and that you are not looking to assign blame – being solution-oriented is much more important and helpful for the business. This is especially relevant in agribusiness settings where reports may evaluate the performance of specific practices, teams, or partners.

Step 6: Decide on the layout of the report

The final step before drafting is deciding how the report will be structured and presented. Layout is not just about aesthetics – it directly affects whether the report gets read, understood, and acted upon.

Organise your report in a logical and coherent manner to ensure clarity and readability. A typical business analysis report includes an executive summary, introduction, methodology, findings, conclusions, and recommendations. Depending on the length and complexity of the report, an appendix may be added to hold supplementary data, charts, or reference material that supports the main text without cluttering it.

The executive summary deserves particular attention. Although it appears first in the report, it is typically written last, once all findings and recommendations are finalized. It should provide a clear, concise overview of the report’s purpose, key findings, and primary recommendations – enabling a busy reader to understand the report’s implications without reading every section in full.

Verify that all data is accurate and presented fairly, ensure that citations and references are complete and consistent throughout your document, and consider the overall flow and logic of your argument – does each section build naturally toward your conclusions?

Formatting for readability

Practical formatting decisions matter as much as content. Write in a logical and coherent manner using headings and subheadings, use an appropriate tone and style, and avoid jargon, slang, and vague or ambiguous words. For reports that will be shared digitally or printed for formal presentations, consistent fonts, clear section dividers, and properly labeled visuals signal professionalism and build credibility with the reader.

Why these steps work together

Each of the six steps described above is interdependent. Skipping or rushing through any one of them weakens the entire report. A well-defined purpose focuses the research. A clear understanding of the audience shapes the tone and depth. Organized, clean data makes analysis reliable. Rigorous analysis produces defensible recommendations. And a thoughtful layout ensures the report is actually used by the people it was written for.

A well-structured report serves as a roadmap for success, outlining key business elements and providing a solid foundation for growth. In agribusiness, where decisions often involve significant capital investment, seasonal timing, and multiple stakeholders, a report that follows this preparation process is not just a document – it is a strategic tool.

Ultimately, writing business reports regularly also helps identify potential issues or risks and allows timely action to prevent damage – making monthly or periodic reporting more effective than doing it only once a year. Building good report preparation habits from the start pays long-term dividends.
