However, a questionnaire is only as good as its design. At its core, a questionnaire in qualitative research is a structured or semi-structured set of written questions designed to gather detailed responses from participants. It enables researchers to uncover underlying reasons, opinions, and perceptions about a specific phenomenon. Unlike an interview, which requires a researcher to be physically present, a questionnaire can be distributed simultaneously to hundreds or thousands of respondents – across villages, districts, or even countries – with minimal incremental cost.
In the context of agribusiness, this matters enormously. Qualitative inquiry helps agribusiness management understand consumer preferences, supply chain dynamics, and organizational behavior within agricultural enterprises. Agricultural extension professionals also use it to engage with farmers, assess knowledge gaps, and tailor educational programs to local contexts. A well-designed questionnaire can capture all of this information efficiently, making it indispensable for large-scale field research.
The method also works well across different administration modes – face-to-face, by post, by phone, or online. Online surveys can collect a greater number of responses in a set period of time compared to face-to-face and phone approaches, so while individual responses may be less detailed, the volume compensates. The greatest benefit of open-ended questions is that they allow you to find more than you anticipate – respondents may share motivations you didn’t expect and mention behaviors and concerns you knew nothing about.
For agribusiness research, this is especially valuable. If a researcher is trying to understand why smallholder farmers in a region are reluctant to adopt a new pesticide, a closed-ended question with predetermined options might miss the real reasons entirely. An open-ended question – “What concerns, if any, do you have about using this product on your crops?” – surfaces answers the researcher may not have considered, such as religious beliefs, past experiences with extension agents, or distrust of input suppliers.
The trade-off is that open-ended responses are significantly harder to analyze. Traditional qualitative coding maxes out around 200 responses for most teams – about two weeks of focused work. Beyond that, quality degrades as analysis fatigue sets in. This is why researchers are advised to include only as many open-ended questions as they can realistically analyze, and to avoid using them indiscriminately simply because they feel “more honest.”
Closed-ended questions: efficiency with limitations

In a large-scale agribusiness survey covering several hundred farmers across multiple districts, closed-ended questions make the data manageable. A question like “How often do you use certified seeds? (Never / Rarely / Sometimes / Always)” yields data that can be easily summarized and compared across groups. Closed-ended questions provide a structured path for respondents to follow, which also reduces the cognitive burden on them and typically results in higher completion rates.
However, the limitation is real: closed-ended questions can only measure what the researcher already thought to ask. If an important answer option is missing from the list, it may go uncaptured entirely. There is also the risk that predefined options subtly guide respondents toward particular answers – a form of researcher bias baked into the design. The presence or absence of explicitly stated alternatives can have dramatic effects on responses, which is why careful wording and pre-testing are essential.
Why combining both question types works best
Most effective questionnaires in agribusiness research do not rely exclusively on one format. Researchers can also use open-ended questions in a pilot phase to discover the true range of answers, then convert those responses into closed-ended options for the main survey. This approach, known as an exploratory-then-confirmatory design, is particularly useful when studying a new phenomenon in an agricultural context where the full landscape of respondent views is not yet known.
Key principles for designing an effective questionnaire
Even the best question types will fail if the questionnaire itself is poorly structured. The interview flow should follow a logical sequence of topics, moving from broader, easier questions at the start to more specific or sensitive ones later. Avoiding bias in question wording
Leading questions – those that suggest a “correct” answer – are a common design flaw. A question like “Don’t you think government subsidies have helped your farm?” subtly pushes respondents toward agreement. A less biased approach is to ask a preliminary question that first establishes whether a condition exists before asking for a detailed evaluation of it.

Longer questionnaires consistently produce lower completion rates and poorer data quality. Every question included should serve a clear purpose aligned with the research objectives. Researchers should keep the questionnaire as short as possible, selecting only questions strictly related to the objectives of the study. In agricultural settings, this is especially important – surveying farmers during planting or harvest season, for example, will almost always result in lower response rates and rushed, less thoughtful answers.
Pre-testing and pilot surveys
Before deployment, every questionnaire should be pre-tested on a small sample drawn from the target population. This identifies ambiguous wording, unclear instructions, and missing answer options before they affect the full dataset. The quality of data collected depends heavily on respondents’ ability and willingness to answer accurately. Designing agricultural questionnaires involves trade-offs which are often evaluated from the perspective of total survey error – a framework that considers not just sampling error but also measurement error arising from respondent misreporting, proxy respondents, and recall bias.
Recall bias is a particular concern in farm surveys. When asked about input use or yield figures from a previous season, respondents may genuinely not remember accurately. Research from the World Bank’s LSMS-ISA surveys found that longer recall periods consistently affected farmer reporting of plots, labor, and agricultural inputs – making the timing and framing of questions critical design choices.
Non-response bias is another challenge. When a significant proportion of targeted respondents do not complete the questionnaire, the resulting dataset may no longer represent the intended population. This is most common with mail and online questionnaires, where there is no interviewer present to encourage completion. Strategies to mitigate this include keeping questionnaires brief, using clear and relatable language, and timing distribution to avoid busy agricultural seasons.
Finally, self-reported data carries inherent risks. Respondents may overstate adoption of recommended practices, underreport politically sensitive behaviors, or simply guess when they are uncertain about specific figures. A significant number of respondents have been observed to answer questions by guesswork, particularly for expenses, labor hours, or market values – casting doubt on data quality for those items. Defining research objectives before writing any question, choosing question types that match those objectives, structuring the flow logically, testing for bias, and pre-piloting with the actual target population are not optional refinements – they are the foundation of a questionnaire that produces data worth analyzing. Mixed methods researchers working in agricultural sustainability have demonstrated that questionnaire design directly shapes the quality of data collected and the validity of conclusions drawn from it.
